Bill Reminders
Expensicat now tells you, in the app and by email, when a bill hasn't been paid in the time you usually take to pay that supplier, and clears the reminder once the payment reaches your bank.
Late, measured against you
A due date says when the supplier wants paying, which can be a month after you'd normally have paid. Expensicat looks at the last bills you paid each supplier from a company account (at least three, from the past 18 months) and takes the median number of days between a bill's date and its payment, so one bill paid two months late doesn't move it. A bill still unpaid two working days past that point gets a reminder.
It waits until your bank can tell
A reminder goes out only once every account that has paid that supplier is synced up to the day the bill counts as late, so a bank feed that's behind never reads as a missed payment. An expired connection on an account that never pays them doesn't hold anything up. When the payment arrives and matches the bill, the reminder clears, and if you paid some other way, you can dismiss it.
What it doesn't do
Expensicat doesn't pay the bill or move money for you, and its working days skip weekends but not bank holidays. Bills from suppliers you've paid fewer than three times still get the existing check, a question three days after the due date asking how the bill was paid. Bills dated more than 60 days ago are left alone, so importing an old mailbox doesn't flag every unmatched invoice in it.
New3
- Inbox
- Expensicat flags a bill as not paid yet once it goes two working days past your usual time to pay that supplier, and as overdue once it's also two working days past its due date
- Workspace
- Bills not paid yet appear in To do on your dashboard and on the bill itself, with the reasoning and a Dismiss button
- Owners and admins get one notification when a bill is late and one more if it becomes overdue, in the app and by email, and can turn off either channel under Account → Notifications
Improvements2
- Reconciliation
- A reminder clears on its own once the payment reaches your bank and matches the bill, or as soon as matching finds a payment for you to confirm
- Inbox
- You're no longer asked how a bill was paid when that bill already has a reminder
Fixes2
- Workspace
- Notifications about paid and overdue invoices, approvals, ending recurring series and questions now open the record they're about, where before some opened the bare list or nothing at all
- A notification email that gets retried after a hiccup now arrives only once
